Solutions designed around how your business actually operates

Every engagement begins with diagnosis. Process improvement, workflow automation, a custom system, or simply a better-designed handoff: what we build depends entirely on what that diagnosis finds, which is why this list is broad and why the conversation starts with your process rather than a product.

Business Transformation Assessment

The starting point · 2–4 weeks

A structured two-to-four week diagnosis of how your business actually runs, ending in a prioritized roadmap.

What it is

A paid engagement in which we map how work moves through your business today. We interview leadership and the people doing the work, observe real processes, review the systems already in place, and document where effort, time and information are being lost. It is a diagnosis, not a sales audit.

The problem it solves

Most owners know something is inefficient but cannot say precisely where, how much it costs, or what to fix first. Without that clarity, technology decisions get made on instinct, and usually solve the wrong problem.

What the solution might look like

  • Workflow maps of your core operational processes as they run today
  • A documented inventory of systems, data and the manual handoffs between them
  • Bottlenecks, single points of dependency and rework quantified in time
  • A prioritized roadmap sequenced by value, effort and risk
  • Clear implementation options, including the ones you can do without us

The business outcome

You finish with an evidence-based view of where your business is losing time, what it is worth to fix, and a sequenced plan you own, whether or not you implement it with Syntrava.

Process & Workflow Redesign

Rebuilding how work moves: intake, handoffs, approvals, scheduling and follow-up, all before any software is chosen.

What it is

We redesign the operational processes themselves: how a job is taken in, who does what next, where decisions happen, what triggers a handoff, and how work is confirmed complete. Software comes after the process makes sense.

The problem it solves

Automating a broken process makes a broken process faster. Many operations have accumulated steps that exist because of a decision made years ago, a person who has since left, or a system that has been replaced.

What the solution might look like

  • A target-state design for each core process, documented step by step
  • Clear ownership and decision rights at every handoff
  • Standardized intake so work arrives complete instead of half-specified
  • Exception paths defined deliberately rather than improvised
  • A change plan that accounts for how the team will actually adopt it

The business outcome

Fewer steps, fewer stalls between people, and a process that a new hire can follow without shadowing your most experienced employee for a month.

Custom Business Systems

Where Syntrava differs most

Purpose-built internal tools such as intake portals, calculators, approval workflows and operational dashboards, designed around your business rather than a template.

What it is

When no off-the-shelf product fits how you operate, we build the tool. Depending on the business that might be a structured intake portal, a calculation or pricing engine, an approval workflow, a scheduling tool, an internal operations dashboard, or a lightweight application that replaces a business-critical spreadsheet.

The problem it solves

Standard software forces your business to adopt someone else’s process. For the operations that actually differentiate you, how you price, how you schedule, how you decide, that trade-off is expensive and rarely reversible.

What the solution might look like

  • Calculation engines that apply your own rates, rules and thresholds
  • Structured intake tools that capture complete information the first time
  • Approval portals with an auditable record of who approved what and when
  • Operational dashboards built on your definitions of the numbers
  • Internal applications that retire a fragile, business-critical spreadsheet

The business outcome

A process that used to depend on one experienced person and a complicated workbook becomes a controlled, repeatable system other staff can run confidently. Anything we build is documented and handed over with a support arrangement agreed up front. A business-critical tool nobody is responsible for maintaining is a liability, not an asset.

AI & Automation

Applied where it genuinely reduces repetitive work or improves speed and consistency, and deliberately not applied where it does not.

What it is

Automation removes steps a person should not have to perform. AI handles the parts of a workflow that involve reading, summarising, drafting, classifying or retrieving information. We use both selectively, inside a process that has already been designed properly.

The problem it solves

A great deal of skilled time is spent on work that is repetitive rather than difficult: re-keying data, sorting enquiries, drafting the same replies, summarising documents, preparing the same recurring outputs.

What the solution might look like

  • Automated data flow between the systems your team already uses
  • Document and email handling that classifies, extracts and routes automatically
  • AI-assisted drafting and summarisation with a person reviewing the output
  • Internal assistants that answer questions from your own documented knowledge
  • Deterministic calculation for anything financial, never left to a model

The business outcome

Repetitive hours are returned to the team, work happens consistently rather than when someone remembers, and your people spend their time on judgement instead of transcription.

CRM & Lead Operations

Making sure every enquiry is captured, assigned, followed up and visible, with a pipeline that reflects reality.

What it is

We design and implement the operational layer around your customers: how enquiries arrive, who owns them, what happens if nobody responds, how open opportunities are tracked, and what leadership can see at any moment.

The problem it solves

Enquiries arrive through a phone line, an inbox, a web form and a referral, and are tracked in four different places. Follow-up depends on individual memory, and the pipeline reflects what was last updated rather than what is true.

What the solution might look like

  • Every enquiry channel captured into one place with a defined owner
  • Automatic assignment, reminders and escalation when response times slip
  • Proposal and enquiry follow-up that runs without being remembered
  • A pipeline whose stages match how you actually sell
  • Response-time and conversion reporting leadership can trust

The business outcome

Fewer enquiries go cold, response times get faster and more consistent, and you can see the health of the pipeline without asking anyone.

Systems Integration

Connecting the software you already run so information moves on its own instead of being carried by a person.

What it is

We connect the platforms you already run, such as CRM, accounting, job management, forms, calendars, inventory and field tools, using APIs, webhooks, automation platforms or custom code, choosing whichever is the most reliable and maintainable for the job. Modern software with a documented API is straightforward. Older or on-premise systems without one sometimes are not, and we will tell you that before you spend anything rather than after.

The problem it solves

Every disconnected system creates a manual bridge. Someone exports, re-enters, reconciles or double-checks, and every one of those bridges is a place for data to drift out of sync.

What the solution might look like

  • Reliable data flow between the systems that run your operation
  • One authoritative source for each piece of information
  • Error handling and alerting so silent failures do not go unnoticed
  • Integration built to be maintained, documented and handed over
  • Sequenced replacement of manual bridges, highest-cost first

The business outcome

Data stops being re-entered, records stay consistent across systems, and the reconciliation work that used to fill an afternoon each week disappears.

SOPs & Knowledge Systems

Getting the rules, procedures and exceptions out of people’s heads and into something the business owns.

What it is

We document how the work is actually done, including the exceptions and judgement calls, and put it somewhere staff can search, follow and keep current. Where it helps, we make that knowledge queryable rather than just readable.

The problem it solves

Pricing logic, supplier quirks, compliance steps and process exceptions live in the memory of a few long-serving people. Training is slow, quality varies, and absence or turnover is genuinely risky.

What the solution might look like

  • Standard operating procedures written from observed practice, not theory
  • A searchable internal knowledge base staff will actually use
  • Onboarding paths that shorten time-to-competence for new hires
  • Decision rules and exceptions documented explicitly
  • A defined owner and review cadence so documentation stays current

The business outcome

New staff become productive faster, work is done consistently regardless of who does it, and the business stops carrying key-person risk in its core processes.

Reporting & Dashboards

Reliable numbers, alerts and recurring summaries so leadership stops chasing updates.

What it is

We define the measures that actually describe your operation, build the reporting that produces them automatically, and set up the alerts that tell you when something needs attention.

The problem it solves

Leadership relies on asking people how things are going. Reports are rebuilt by hand each month, numbers are defined differently depending on who prepared them, and problems surface late.

What the solution might look like

  • An agreed definition for each operational measure that matters
  • Dashboards for the daily and weekly operating picture
  • Recurring summaries delivered automatically to the people who need them
  • Alerts on the thresholds that warrant attention, not on everything
  • Reporting sourced directly from operational systems, not manual exports

The business outcome

Leadership sees what is happening without a meeting, issues surface while they are still small, and the hours spent assembling reports go back into the business.

Ongoing Optimization

Optional recurring engagement

A continuing relationship to monitor what we built, improve it, and work through the rest of the roadmap.

What it is

After a system is live, we monitor it, maintain it, refine it as the business changes, and take on the next set of opportunities from the roadmap in priority order.

The problem it solves

Implemented systems degrade. Processes drift, edge cases appear, the business changes, staff turn over, and improvement projects stall once the initial push is over.

What the solution might look like

  • Monitoring and support for the systems we implemented
  • Regular reviews against the measures agreed at the start
  • Iterative improvements as real usage exposes new edge cases
  • Administration of the CRM and operational systems where useful
  • Sequenced delivery of the next opportunities on the roadmap

The business outcome

Improvements compound instead of decaying, and operational change becomes something the business does continuously rather than once every few years.

This is paid work, not a free audit

A free audit is a sales exercise, and it can only ever conclude that you need whatever the firm happens to sell. The assessment is a fixed fee, agreed in full before anything starts, and the roadmap is yours to keep whether or not you implement it with us.

  1. Discovery call

    No cost

A 30 to 45 minute conversation about how your business runs. No obligation either way.

  2. The assessment

    Fixed fee

Quoted in full before it begins, so there is no open-ended meter running.

  3. Anything we build

    Priced per project

You choose what to implement. Each project is scoped and priced on its own.

  4. Ongoing support

    Optional monthly

Only if you want it, and you can stop whenever it stops being worth it.

Not sure which of these you need?

That is what the assessment is for. Most clients arrive knowing something is inefficient without being able to say precisely what, and choosing a solution before the diagnosis is how expensive mistakes get made.
